Appointment Cancellation Policy FAQ

Our cancellation policy requires notifying us of any appointment cancellations or rescheduling at least 24 hours in advance to avoid any charges.

If you fail to cancel your appointment within 24 hours of the scheduled time, or do not show up for the appointment, there will be a fee of $100.

We have a no-show fee policy in place to ensure fairness to all patients and maintain the efficiency of our healthcare services. When patients miss their scheduled appointments without prior notice, it can lead to wasted time and resources, as well as prevent other patients from accessing timely care.

The no-show fee policy benefits patients by encouraging them to be proactive in managing their appointments and reminding them of the importance of keeping scheduled visits. For the clinic, it helps reduce the number of missed appointments, allowing us to allocate our resources effectively and offer better access to care for all patients.

We understand that emergencies may occur, and we evaluate each situation on a case-by-case basis. If you believe your circumstances warrant an appeal, please contact our office to discuss your situation.

To cancel your appointment and avoid the cancellation fee, please cancel the appointment through our reminder call system or via MyHillChart.  You can also call our office during regular business hours or leave a voice mail after hours (but it has to be at least 24 hours in advance).

Yes, you may leave a voicemail to cancel your appointment after office hours. However, please be aware that the voicemail must be received before the 24-hour cancellation window to avoid the fee.

Yes, the cancellation fee applies to all types of appointments, including follow-ups, video visits, and new patient visits, as well as any other scheduled consultations.

Yes, you can reschedule your appointment to a different date or time within the 24-hour cancellation window to avoid the cancellation fee.

We understand that unforeseen circumstances can lead to lateness. We will make every effort to accommodate you within the time slot reserved for your appointment, provided it does not significantly impact subsequent appointments.

If your late arrival prevents us from adequately addressing your health needs within the remaining appointment time, we may recommend rescheduling to ensure you receive appropriate care. If we recommend rescheduling due to insufficient time caused by your late arrival, a $100 cancellation fee may be applied. This fee helps us manage our schedule and ensure timely care for all patients.

If the cancellation fee is applied to your account, we request payment at the time of the missed appointment or prior to you next visit to the clinic. Please check with our billing department for payment options.
